At DELVA Landscape Architecture & Urbanism, we are looking for an Administrative Assistant for our office in Amsterdam. In this role, you will play a key part in supporting our project organization, ensuring that administrative and financial processes are accurate, efficient, and well-organized. You enable designers and project leads to fully focus on their work by keeping everything behind the scenes in order.
The Position
As an Administrative Assistant at DELVA, you will play a central role in supporting our project operations. You are responsible for maintaining accurate project administration and ensuring that financial processes run smoothly.
You will work closely with project leads, partners, and the business controller, combining financial administration, project support, and light office management tasks within a dynamic and creative working environment.
What will you do?
Project Administration & Finance:
- Independently manage and monitor project administration
- Process quotations in our project software and support project initiation
- Prepare and process sales and credit invoices in coordination with project leads
- Process receipts and purchase invoices and execute timely payments
- Support financial processes under the guidance of the Business Controller
Support & Organization:
- Maintain contact with clients regarding quotations and invoicing
- Support general office tasks such as answering the phone and welcoming guests
- Collaborate with partners, the business controller, and team members to ensure smooth processes
Team & Collaboration:
- Work under the supervision of the Business Controller (responsible for financial operations, reporting, and controls)
- Collaborate closely with project leads and management
- Contribute to accurate and efficient financial handling of projects
What we’re Looking For
- At least 3 years of relevant experience in an administrative or financially supportive role
- Experience with project administration and financial processes
- Knowledge of bookkeeping is a plus
- Accurate, structured, and able to work independently
- Proactive mindset and ability to manage multiple tasks simultaneously
- Strong communication skills and a team-oriented attitude
- Experience with MS Office and preferably administrative software (such as GRIPP)
- Excellent command of Dutch and English, both written and spoken
- Availability of 28–32 hours per week
